Join us for an exciting opportunity as a Facilities/Office Coordinator (m/f/d) at Flix! In this role, you will support the daily operation and maintenance of the Berlin Flix Office (onsite) in Friedrichshain area, ensuring a safe, functional, and welcoming environment for all employees. You will collaborate closely with the Facilities Management (FM) team, coordinate building services, and contribute to smooth office operations.

This role is full-time and available from September.

About the Role

• Monitor building service activities and respond to maintenance or technical requests via phone, in person, or electronically (e.g., checking meeting room equipment, reporting temperature issues).
• Identify, escalate, and track issues requiring urgent attention, documenting resolutions (e.g., water spills, broken furniture, building malfunctions).
• Assist with basic and general building maintenance, building emergencies, and safety measures (e.g. rewiring desk setups)
• Manage Facilities tickets, report and route issues to the right resources, communicate with employees on operational topics (e.g., updating employees about repair timelines).
• Support mail, shipping & receiving operations, and provide reception coverage when needed (e.g., sorting parcels, welcoming visitors).
• Lead setup for internal events and meetings, coordinating with departments like AV/IT and supporting on-site contractors (e.g., arranging furniture layouts, preparing meeting rooms).
• Manage office supplies, maintain clean and tidy office areas, and move/assemble furniture as required (e.g., tidying meeting rooms, removing stains from floor or office furniture)
  

About You

• 2+ years of experience in a similar service-focused role (Facilities, Office Operations, Hospitality, etc.).
• Solutions-focused, structured, and calm under pressure, with a proactive and results-driven mindset.
• Able to manage competing priorities while maintaining high quality and strong attention to detail.
• Skilled at building strong working relationships with employees, vendors, and contractors.
• Confident in communication in German (at least B2) and English (at least B1).
• Proficient with PC tools and common software (e.g., Microsoft Office).
• Physically able to stand, bend, squat, and lift up to 25 kg.
